We have a proven business model, established processes, and deep operational expertise — and we're now expanding into Poland. We're looking for a COO to take this foundation, localize it, and build a high-performing, self-sufficient Polish office.

- have hands-on experience in operations management — as an Operations Manager, COO, or Operations Lead
- are based in Poland with solid knowledge of the local market
- are fluent in Polish, English, and Ukrainian
- have a track record of building or overhauling operational processes
- can operate independently, take full ownership, and deliver on commitments without follow-up
- understand how CRM, ERP, and business systems work at the process level — not just as a user
- can customize and adapt tools to local market needs rather than defaulting to the status quo
- are data-driven: you can build reporting structures from scratch, create clear dashboards, and translate numbers into decisions
- are comfortable managing cross-functional collaboration and keeping teams aligned
- bring strategic thinking alongside operational rigor — you see risks, opportunities, and growth levers
- understand that your work directly moves the business forward, not just keeps it running
- prior experience scaling or entering the Polish market
- background in systems integration or process automation
- hands-on experience with Notion, Miro, Looker, or similar tools
- experience with NetHunt and / or Odoo
- understanding of logistics and supply chain operations
- familiarity with Polish tax and legal requirements
- experience working with B2B contracts and commercial documentation
- Own the operational budget for the Polish office — track costs, monitor cash flow, and ensure spending aligns with business targets
- Support the sales function end-to-end: coordinate samples, materials, proposals, and deal logistics
- Localize the company's operational playbook for the Polish market — adapt processes, client-facing standards, and supplier relationships to fit local context
- Keep the Polish office and Ukrainian HQ in sync — clear communication, shared priorities, no operational blind spots
- Configure and adapt the company's tech stack for the Polish market
- Drive automation and process improvements that create real efficiency gains
- Build a reporting infrastructure: dashboards and recurring reports that give leadership visibility into what matters
- Identify and eliminate waste — in processes, logistics, and supplier costs
- Optimize warehouse and logistics operations; negotiate better terms with partners
- Define and track key performance metrics; develop clear improvement plans
- Own the team-building process: hiring, onboarding, and ongoing development
- Set clear goals, hold the team accountable, provide regular feedback, and keep everyone focused on outcomes
- Build a structured rhythm of check-ins, reporting, and performance reviews — so issues surface early and decisions are grounded in data
- A clear, metrics-backed assessment of current operations — no vague impressions
- Top operational issues identified and quantified by their impact on margin, speed, and cost
- First quick wins shipped and measurable
- End-to-end operational model documented: ownership, order flow, scaling risks
- A live dashboard in use — not just built, but actively driving decisions
- A working understanding of unit economics: cost per order, where the money goes
- At least one automation or process optimization initiative underway
- A 6–12 month operational roadmap with clear priorities
