We are looking for a proactive and well-organized Office Manager to lead office operations in Wrocław (as our primary Hub in Europe) and ensure a safe, welcoming, and efficient workplace for our team.
This role combines office facilities management, administrative coordination, supporting employee engagement, and IT asset handling. You will act as the key point of contact for office-related operations and collaborate closely with Finance, HR, IT, Security, and Global Operations teams.
- Manage lease coordination in cooperation with Finance;
- Ensure office maintenance (repairs, cleaning, utilities, service contracts);
- Plan office space utilization and workplace readiness;
- Manage office supplies and procurement of office assets;
- Coordinate reception/front desk services;
- Organize office decorations and seasonal arrangements.
- Oversee office physical security controls and compliance in alignment with Security team;
- Manage access cards/badges (grant/revoke);
- Coordinate visitor management and guest access;
- Support emergency procedures and workplace readiness processes;
- Support onboarding/offboarding from workplace perspective.
- Manage office budget and facility-related vendor contracts;
- Coordinate corporate travel and logistics (local support);
- Track office utilization and attendance metrics;
- Handle mail and courier services;
- Manage snacks, supplies, and office inventory;
- Support Business Continuity Plan (BCP) activities in alignment with Compliance team.
- Coordinate newcomer welcome kits and greetings;
- Support local employee engagement initiatives;
- Organize local corporate events (in collaboration with HR);
- Manage regional communication and location-specific activities;
- Coordinate seasonal events and internal celebrations.
- Support IT asset provisioning (purchase, delivery, disposal) in collaboration with IT;
- Maintain local IT asset inventory records;
- Coordinate with Global IT team on asset tracking and compliance.
- Contribute to process excellence initiatives;
- Support implementation of unified corporate policies (e.g., travel, BCP, workplace standards).
- 3+ years of experience in Office Management, Facilities, or Administrative roles;
- Experience working in an international company (IT services is a strong plus);
- Strong vendor management and budget coordination skills;
- Experience with physical security and access management;
- Experience organizing corporate events;
- Familiarity with asset inventory management;
- Strong organizational and multitasking skills;
- Ability to work independently and proactively;
- Good understanding of workplace compliance standards;
- English/Polish – Upper-Intermediate or higher (daily communication).
