Your role:

  • Ensure the efficient and comfortable operation of the office in Warsaw: maintain order and organize the procurement of necessary supplies, equipment and groceries.
  • Coordinate and manage cooperation with service providers (cleaning services, suppliers, technical services) and arrange repair or maintenance work in the office when needed.
  • Organize deliveries and postal shipments.
  • Coordinate employee and partner greetings, including preparing and sending gifts.
  • Organize team events and informal activities such as team-building events, workations and team gatherings.
  • Support the onboarding of new employees: prepare welcome packs, organize their first working day and assist with administrative questions.
  • Support HR processes and maintain accurate records in internal systems: update employee statuses, absences and basic administrative information.
  • Participate in the recruitment process: assist with job postings, research job boards, source candidates, screen profiles, and conduct initial interviews.
  • Participate in organizing potential office changes in the future: assist with relocation, setting up a new office space, and coordinating related organizational processes.

About you:

  • Experience in an Office Manager, Administrative Assistant, HR Assistant, or similar role.
  • An organized person who values structured processes and attention to detail.
  • Ability to handle multiple tasks simultaneously and quickly switch between them.
  • Proactive and able to independently find solutions to everyday organizational tasks.
  • Ability to manage your own work and bring tasks to completion.
  • Experience organizing team events or internal activities.
  • Strong communication skills and a genuine desire to help people.
  • Experience in talent sourcing and conducting interviews.
  • English and Polish proficiency at B1-B2 level.
