We`re rapidly growing and inviting an Office Manager to our team.
Required skills and expertise:
- Previous experience in a similar role will be an advantage, but not mandatory — we are open to candidates without prior experience.
- Fluency in Polish, Russian or Ukrainian and at least Upper-Intermediate level of English.
- Strong sense of responsibility, attention to detail, and accuracy.
- Ability to make independent decisions.
- Strong team player with good collaboration skills.
- Pleasant communication style, ability to smooth out conflicts and maintain a positive atmosphere.
- Proactive attitude and willingness to take initiative.
- Creative thinking will be considered a plus.
You would be running such tasks as:
Office Administration
- Plan and control the timely purchasing of goods for office needs(water, snacks, coffee, fruits etc.);
- Purchase of necessary furniture for office space and organize office workspace for comfortable work, bringing new ideas for office improvements;
- Handle and resolve office-related issues and malfunctions (e.g., equipment, supplies, facilities);
- Negotiating with contractors and service providers (cleaning, food providers, business center providers);
- Assist all employees with general ad-hoc administrative task.
Payments
- Process payments of invoices and contractors’ services related to administrative expenses, as well as expenses of the Tech and Finance teams;
- Create and submit requests in the internal system;
- Ensure that all items are invoiced and paid on time.
Business Trips
- Assist HR Admin Manager with organize employee business travel arrangements according to the company’s travel policy and budget (book flights, accommodations, and transfers for business trips).
Other HR-related tasks
- Take part in the organization of corporate events (on-site and off-site events, team-building events etc);
- Assistance in the creation and production of new merch for employees;
- Organizing gifts and bonuses for birthdays, anniversary, weddings, childbirths, etc.
